How to enquire, what information helps and when to reserve equipment.

How do I book equipment from Oxford Sound Hire?

You can order suitable items online, use our quote form, email hello@oxfordsoundhire.com or call 01865 570440. Include the event date, venue, timings, approximate guest numbers and what you need the equipment to achieve.

How far in advance should I book?

As early as possible. For weddings and popular summer weekends, six months or more is sensible because equipment and crew availability can become limited. Short-notice hires are often possible where stock and staffing allow, so call us if the requirement is urgent.

How quickly will I receive a quote?

We normally respond within one working day. Complex events may take longer if we need venue information, technical specifications or input from another supplier. For a genuinely urgent requirement, telephone us so we can assess it immediately.

I am not sure what equipment I need—can you help?

Yes. Describe the event in ordinary language and we will recommend a suitable starting point. Useful details include the venue, audience size, indoor or outdoor areas, speech or music requirements, performers, playback devices, access restrictions and the time by which everything must be ready.

Do you offer packages for particular kinds of event?

Yes. We provide starting-point packages for weddings, conferences, private parties, live music and outdoor events, with microphones, lighting, DJ equipment and technical support added where required. A package can also be adjusted when the standard version is not quite right.

Delivery, setup & collection

Do you deliver and set up the equipment?

Yes. Delivery can include unloading, installation, connection, testing, a clear handover and later collection. Timings are agreed for each booking so the system is ready before it is needed. Self-operation can also be arranged where appropriate, with the equipment delivered ready for use and a clear handover provided.

Which areas do you cover?

Our normal working radius is roughly 75 miles from Oxford. We regularly serve Oxfordshire, Gloucestershire, Buckinghamshire, Berkshire, the Cotswolds and parts of Wiltshire, Warwickshire and Northamptonshire. Availability and delivery cost depend on the venue, equipment and timings.

How much does delivery cost?

Delivery and collection charges depend on the journey, vehicle, access, equipment quantity and whether crew time is required on site. Enter the venue details during checkout or include the full address in your enquiry and we will confirm the cost before booking.

Do you offer emergency or same-day hire?

Where stock, vehicles and staff are available, yes. Telephone us rather than relying on email for a same-day requirement. We will explain immediately what is realistically achievable.

Equipment & operation

Choosing the right system, connecting your devices and deciding whether you need an engineer.

What type of equipment do you provide?

Our hire stock includes PA systems, loudspeakers, microphones, mixing consoles, DJ equipment, event lighting, projectors and presentation equipment, staging accessories, musical instruments and backline. We can supply a single item or assemble a complete working system.

What is included in a sound-system package?

A package groups the components normally needed for a particular job. Depending on the package, that may include loudspeakers, stands, a mixer, suitable cables and playback connections. The product page lists the exact contents, and microphones, lighting, delivery or an engineer can be added.

How large a PA system do I need?

It depends on audience size, room dimensions, whether the event is indoors or outdoors, and whether the system is mainly for speech, background music, a DJ or live performers. Tell us those details and we will recommend an appropriate system rather than expecting you to calculate it yourself.

Can I connect a phone, tablet, laptop or DJ equipment?

Yes. We can provide the appropriate wired audio connection, a Bluetooth receiver where suitable, or professional line-level connections for DJ mixers and other equipment. Not every individual device has Bluetooth built in, so tell us what you plan to connect when ordering.

Is the equipment easy to use?

Straightforward systems are supplied ready to operate, with the necessary cables and a handover or instructions. If the event requires active mixing, multiple performers, radio-microphone coordination or rapid technical decisions, an engineer is the safer option.

Can you provide a sound engineer or technician?

Yes. An experienced engineer can install and hand over a system, remain for the whole event, mix live performers, manage microphones or support a presentation. Tell us the working hours and responsibilities required so crew costs can be quoted accurately.

Can I hire lighting alongside sound equipment?

Yes. We offer party and dancefloor lighting, wireless uplighters, venue lighting, moving effects and smoke or haze equipment where the venue permits it. Sound and lighting can be combined within one order and delivery.

What if I need an item that is not shown online?

Ask us. Some specialist items are not individually listed, and we may be able to supply them from our own stock or source them through established industry partners. We will be clear about availability, compatibility and cost before adding anything to the booking.

Pricing, payment & changes

How the hire period is calculated and what to do when plans change.

How is the hire period priced?

Unless a product page states otherwise, the displayed equipment price normally covers a one- or two-day hire. From the third day, the equipment total normally increases by 40% of the base equipment price for each additional day. Delivery, collection, crew and other services are calculated separately.

Do you offer account, repeat-customer or larger-order pricing?

Potentially. Account arrangements and larger or repeated hires are assessed according to the equipment, frequency, duration, administration and payment terms involved. Contact us with the likely pattern of work and we will explain any applicable arrangement.

Which payment methods do you accept?

Online checkout accepts major credit and debit cards and may offer Apple Pay or Google Pay on compatible devices and browsers. BACS bank transfer is also available for invoiced bookings. Payment requirements are confirmed before the hire is reserved.

Can I extend the hire or change my order?

Usually, subject to availability. Contact us as soon as plans change because the same equipment may already be reserved for another customer. Additional equipment, longer hire periods or altered delivery timings may change the price.

Insurance, compliance & support

Practical responsibilities covering hired equipment, electrical safety, wireless systems and outdoor use.

Do you hold public liability insurance?

Yes. Oxford Sound Hire holds public liability insurance for its operations, and evidence can be supplied when a venue or organiser requests it. Public liability insurance is separate from cover for hired equipment while it is in the customer’s custody.

Who is responsible for the equipment during the hire?

The customer is responsible for the equipment’s safekeeping from handover until it is returned or collected, in accordance with the hire terms. Check that your event, business, household or specialist hired-in equipment insurance provides adequate cover where necessary.

Is the electrical equipment inspected and tested?

Yes. Mains-powered equipment is maintained, visually inspected and subject to appropriate electrical inspection and testing. Current records can be supplied when a venue or organiser reasonably requires them.

Do wireless microphones need a licence?

Some frequencies require an Ofcom Programme Making and Special Events (PMSE) licence, while licence-exempt wireless-microphone frequencies also exist. The requirement depends on the system, frequencies, location and scale of deployment. We will advise what applies to the equipment supplied and agree who is responsible for any licence.

What happens if bad weather affects an outdoor event?

Most professional sound and lighting equipment is not waterproof and must be properly sheltered from rain and unsafe conditions. We can plan suitable covers, cable protection, power arrangements and contingencies, but equipment will not be installed or operated where weather makes the setup unsafe.

What if I have a problem during the event?

Contact us using the support details supplied with the booking. We will help diagnose the issue and respond as far as reasonably possible. For critical or technically complex events, booking an on-site engineer provides the fastest and most reliable support.

Do you provide sound and lighting for weddings?

Yes. We support outdoor and indoor ceremonies, background music, wireless microphones for speeches, evening playlists, DJs, live bands, dancefloor lighting and venue uplighting. Delivery, setup and collection can be planned around the wedding schedule.

Can you support conferences, corporate events and hybrid meetings?

Yes. We provide speech PA systems, wireless and lectern microphones, presentation audio, projectors, screens, recording and support for Zoom, Teams and similar hybrid-meeting platforms. A technician can remain on site where required.

Do you supply outdoor events, fetes and sports days?

Yes. We can plan public-address coverage, wireless microphones, playback, power distribution, safe cable routes and appropriate weather protection for public announcements, fetes, sporting events, festivals and community events.

Can you provide equipment and engineering for live music?

Yes. Depending on the event, we can provide loudspeakers, subwoofers, mixing consoles, stage microphones, DI boxes, monitors, stands, cabling and an engineer. Send us the act’s technical rider and event schedule as early as possible.
